AgAmerica seeks an Executive Assistant to assist the Chief Operating Officer (COO) with her daily business and personal tasks. The Executive Assistant to the COO plays a key role in supporting the Chief Operating Officer in various administrative and organizational tasks. This position requires a high level of professionalism, discretion, and the ability to handle sensitive information. The ideal candidate exhibits strong IQ and EQ with the ability to partner with the COO on management responsibilities.

Job Responsibilities

  • Manage COO calendar based on knowledge of company priorities to protect and maximize executive’s time
  • Schedule meetings and follow ups, and manage the key contacts of the executive effectively
  • Keep office, including digital documents and folders, organized
  • Prepare agendas and necessary materials for meetings
  • Attend and take thorough notes or minutes at major meetings and committees
  • Maintain and organize confidential information and documents
  • Track and manage priorities of the executive and department
  • Manage information flow to and from the executive
  • Act as a liaison between the COO and internal team members
  • Assist in special projects and initiatives led by the COO
  • Coordinate with other departments to ensure project timelines are met
  • Book travel, with executive preferences, as needed
  • Schedule personal appointments and run personal errands, as necessary
  • Available after hours or during executive travel (minimal)
  • Other duties as assigned

Required Qualifications

  • Bachelor’s Degree
  • Excellent organizational and time-management skills
  • High level of attention to detail and accuracy in a fast-paced environment
  • High emotional intelligence, with the ability to be in tune with executive preferences and needs
